Managing a project – basic steps
In order to properly manage a project, you should first assess how large it is. Determine the type of project you will work on, what the project will include, who will be involved and what it will imply. Keeping all this information in mind, create your project in billage. From then on, you just need to start adding tasks, timings, stages and goals.
A project should include as many tasks as you consider appropriate in order to make sure it will succeed. Do not hesitate to create tasks. There is not a limited set of tasks available. Your software will not be overloaded. In fact, it is just the other way round: the more tasks you create, the better the work will flow.
We are all more efficient and productive if we need to tackle smaller, more feasible and flexible tasks than if we have to face big challenges that make us tired and desperate even before we begin. If we see something that is too big, or that will last for too long, we do not feel like doing it.
Build your trip-project in an attractive manner. Create as many stages as you believe you and your team will need. Stop whenever necessary and take along all the provisions you need to make your way easier.
A well-designed project is a path to success. And your business depends on projects that are well implemented, delivered in time and finished properly.
Divide your project into feasible tasks
Rallies, cycling tours, tennis, skiing and football tournaments… They are all divided into several stages. Everything has its own phases. Everything is divided into… Tasks! After all, you cannot climb mount Everest in a single run without carefully planning each stage and dividing each of those stages into smaller actions… In a similar manner, your projects also need to be divided.
Tasks are the stages of your project. This is something similar to the goals of a company: there is no point in saying you want to make 1.000.000 € every year if you do not divide it into months and assign the required actions to achieve your goal.
Divide each project you need to tackle into stages. And do not do this with client-oriented projects only… Do it with your own internal projects too!
Create as many tasks as you want. Organize them into task lists and there you are. You may now introduce all the required information.
Assign tasks to the existing roles in your team
Your team keeps growing, there are more and more people in the company every day and, if you are not careful, chaos will rule the office in the near future. In a given project, it is essential to know who is in charge of what.Who is responsible for each task, but also who should be doing the task and who should keep away from it.
Assign roles to every task in your billage project board. Decide according to experience, training, available time and/or any guidelines previously agreed upon who is going to take care of each task. And assign each task to its corresponding role.
Each task should be assigned to a role. This is the most efficient thing to do. When we need to ask something about the status of that task, we know who to talk to. Avoid wasting your time asking, searching or looking for information. Each task should be assigned to the person in charge of it.
Set goals and deadlines everybody sticks to
There is no drive without a goal. If there is no challenge to overcome, there is no need to move further either. Get everyone to stay committed to their tasks by setting goals and deadlines.
Each task should be assigned its corresponding completion time. Using the overview of your project and what you agreed with your client (or else your internal needs), break down time slots and create deadlines for each task. Everyone should always know where he is in the project and what the deadline for the project is. Trust each person’s own way of organizing things knowing they are aware of the project deadline.
If you do not know when you are expected to arrive, you will not be able to organize your trip. The same happens when it comes to tasks. Don’t let the lack of communication on deadlines make you late or delay the project. Help your team organize their own time, always in the framework of a pre-determined calendar.
Monitor the time you devote to each task with Time Tracking
Find out the actual profitability of your project by finding out the time devoted to each task. Use and deploy Time Tracking in your business and you will know what happens as soon as it happens.
You just need to click “play” on Time Tracking and, from then on, a new world of essential information for your company will be available to you. How much time is devoted to each piece of work, to each task, to each project. Was this project profitable? As always, it will depend on the time and resources you devote to it.
With Time Tracking… you will know it! And you will know it for sure, no more approximations. While you are at it, create and increase the productivity in your team. When the minute counter is on, you can be sure everybody will focus in what they are doing. Nobody will want the counter to count any more time than that they have actually been working.
Directly invoice up to the very last minute you work
After all, invoicing and making cash is the goal of all businesses… Do not let a single minute go unnoticed. With effective project management, a proper design of tasks and a constant use of Time Tracking, you will be able to invoice every minute you work, directly and without even noticing it. No need to do anything in particular. Billage has already been developed to know what is to be done. You just need to take care of creating an effective work protocol that can be uploaded to billage, and the tool will do the rest.
No more working for free and spending hours and hours working that will not provide any cash. Optimize and, above everything, invoice. Make sure you cash in up to the very last minute you worked.
From the organization. Efficiency. The opportunity to focus on other topics. The peace of mind of knowing that the management of your business is under control. You are one click away
